Zoom Integration Guide

This guide explains how to connect, use, and manage Zoom integration with Shikumi Yoyaku.

Contents

1. Overview

Shikumi Yoyaku integrates with Zoom to automatically create online meeting rooms when customers book appointments. This feature allows you to:

  • Automatically generate Zoom meeting links for online appointments
  • Include meeting details in confirmation emails to customers
  • Manage online and in-person appointments from a single platform
  • Save time by eliminating manual meeting creation

2. Requirements

  • A Shikumi Yoyaku admin account
  • A Zoom account (Basic, Pro, Business, or Enterprise)
  • Permission to authorize third-party apps in your Zoom account

Note: Zoom Basic (free) accounts have a 40-minute limit on group meetings. If you plan to offer longer sessions, consider upgrading to Zoom Pro or using Google Meet as an alternative.

3. Connecting Your Zoom Account

Step 1: Access Settings

Log in to your Shikumi Yoyaku admin dashboard and navigate to Settings → Zoom Integration (Zoomミーティング連携).

Step 2: Start Connection

Click the "Connect Zoom" (Zoomに接続) button to begin the authorization process.

Step 3: Authorize Access

You will be redirected to Zoom's authorization page. Sign in with your Zoom account and click "Allow" to grant Shikumi Yoyaku permission to create meetings on your behalf.

Step 4: Confirmation

After authorization, you will be redirected back to Shikumi Yoyaku. The settings page will show your connected Zoom account email address.

4. Using Zoom with Bookings

4.1 Enable Online Meetings for Services

  1. Go to Services (サービス管理) in your admin dashboard
  2. Select a service or create a new one
  3. Enable "Online Meeting" (オンラインミーティング)
  4. Choose "Zoom" as the meeting provider
  5. Save your changes

4.2 What Happens When a Customer Books

When a customer books an online appointment:

  • A Zoom meeting is automatically created
  • The meeting link and password are added to the booking confirmation email
  • Both you and the customer receive the meeting details
  • The meeting appears in your Zoom account's scheduled meetings

4.3 Booking Cancellations

If a booking is cancelled, the associated Zoom meeting is automatically deleted.

5. Managing Your Integration

View Connection Status

Go to Settings → Zoom Integration to view your connected Zoom account, including the email address and account type (Basic, Pro, etc.).

Reconnecting

If your Zoom connection becomes invalid (e.g., password change), disconnect and reconnect your account from the Settings page.

6. Removing the Integration

Option A: From Shikumi Yoyaku

  1. Go to Settings → Zoom Integration
  2. Click "Disconnect" (連携を解除)
  3. Confirm the disconnection

Option B: From Zoom Marketplace

  1. Visit marketplace.zoom.us
  2. Sign in with your Zoom account
  3. Go to Manage → Installed Apps
  4. Find "Shikumi Yoyaku" and click "Uninstall"

What happens when you disconnect:

  • All stored OAuth tokens are immediately deleted from our servers
  • Future bookings will not create Zoom meetings automatically
  • Existing Zoom meetings that were already created remain in your Zoom account
  • Services with "Zoom" as the provider will switch to "No Online Meeting"

7. Troubleshooting

"Connection failed" error during authorization

Try clearing your browser cache and cookies, then attempt the connection again. Ensure pop-ups are allowed for our domain.

Zoom meetings not being created

Verify that Zoom is connected (check Settings → Zoom Integration) and that your service has "Zoom" selected as the meeting provider.

40-minute meeting limit warning

This appears because you have a Zoom Basic (free) account. Group meetings are limited to 40 minutes. Consider upgrading to Zoom Pro or using Google Meet for longer sessions.
